Hybrid Annual General Meeting – Sat 13th May 2023 @2:00pm
You can just turn up at the Birmingham meetings rooms or participate on line. There is also a postal voting option.

How to Participate using Zoom –
Below and on other pages you will be able to see how to participate in the Hybrid Annual General Meeting and how it will all work.

Registration is now open, 1st April, closing on 9th May 2023 @ 23:59 to allow 5 days for validating the On Line Registrations and sending out joining links by email.
Links will not be sent out until 3 days to go as memberships will need to be checked.

Polling
For each Agenda item so requiring, after any previously submitted Questions have been addressed satisfactorily, Polling (voting) will commence.
A window will appear on the screen of each participant from which you will be able to select one of the options –

Poll results will be calculated in real time and upon completion made immediately available for all to see. Results will be added to a spreadsheet set up earlier for the On line and In Room votes, postal votes already included. All participants will be able to then see the aggregate figures.
To familiarise participants with how the On Line polling feature will work, there will be a demonstration pre-meeting so all will be able to engage.

How to Pose Questions
Questions must be submitted before the event by email to eventsonline@midanc.uk Please put AGM Questions into the subject box, they will then be directed to the appropriate individual for verbal response at the Meeting. They will be dealt with as time allows, any not addressed on the night will have responses put onto this website in the days following.

How To Register
Clicking on the link shown a few lines further down the page will take you direct to the Registration page on the Zoom website.
You will need to put in your FULL name and your membership number. Membership numbers take the form of up to 5 digits e.g. 54321, no letters, no / slashes. Joint members each have their own number and each are entitled to vote but to exercise that right they must Register and join in separately. There is no other way.
To avoid registration issues, please ensure your Membership Number is correct
After Registration closes (see above) Registrants will then be checked for valid membership.

Access
With 3 days to go, all those with valid memberships will be sent a Confirmation email with a clickable link to use on the day. The link is unique to you and is the only way of gaining access to the AGM. Meeting ID numbers are not published for security reasons. Ensure that the computer/tablet you intend to use is one from which you can also access your email account.
Using that link will take you direct to the virtual meeting. You will first enter a Waiting Room then upon being recognised, let into the Meeting. Microphones will be muted by default. You will be able to gain access from 1:45 pm, proceedings will commence at 2:00 pm.
Please be aware – The proceedings will be recorded.
Personal information, images etc. are never shared with any 3rd party unless required by law or to help us fulfil our obligations to our members in conducting this online meeting.
As the meeting itself commences, there will be a lock put on to the On Line element to avoid latecomers disturbing the proceedings.
If in those last 24 hours you can’t find the email with the link, please check that you have not used a different email account and also check your spam bin.

Postal Vote Option
You can use the Postal Vote option if you wish, contact Jackie for a form.
Please make sure it is completed and returned to her by 5th May 2023 otherwise those votes will not be counted. Jackie’s address can be found on contacts page of this website – Contacts Do remember to allow good time for the vagaries of the postal system, home or overseas.
As this is going to take a lot of organising, timings shown will be strictly applied.
